Business Manager

The Business Manager assists the Executive Director with administration of the Louisville Youth Orchestra, including organizing and coordinating a variety of activities; ensuring arrangements for rehearsals, concerts, and special events; handling aspects of internal communications, financial records, and central purchasing; researching funding sources and assisting with grant applications; and maintaining a central file of records and general correspondence. This role requires a high level of organizational ability and excellent communication skills.

 

The Business Manager may be asked to represent the LYO publicly, and support most aspects of the Executive Director role. The position is intended to minimize disruption if there should be a planned or unplanned absence of the Executive Director. The Business Manager reports to the Executive Director; works closely with the Music Director; and serves as staff assistant to the Board of Directors and its Committees.

 

Duties and Responsibilities

 

  1. Attends all Board meetings and staff meetings (exceptions may be approved by the Executive Director) and assists the Executive Director with preparation of Board reports.

  2. Attends all concerts, tours, and runouts of the Louisville Youth Orchestra.

  3. Attends the first four rehearsals to wrap up the official membership payment process.

  4. Supervises/assists Co-Site Managers with management of students at Sunday rehearsals, logistics of performances, (including set up/tear down as needed) and general flow of all aspects of activities. May utilize parent and/or student assistance when warranted.

  5. Serves on or attends board committee meetings at the request of the Executive Director or Board of Directors.

  6. Assists the Executive Director and Music Director in preparing the annual schedule of rehearsals, performances, and special activities.

  7. Assists with coordination of administrative activities related to projects and performances including facilities, publicity, programs, staging, lighting and audio; utilizes available volunteer resources to assist as necessary.

  8. Assists Executive Director with audition arrangements including special requirements, scheduling and physical arrangements, and collection of fees and required documents.

  9. Checks applications for exceptions to minimum requirements (private lessons, participation in school music program), investigates and forwards appeals; works with parents, students, and schools to resolve requirement conflicts.

  10. Maintains a musical equipment and business equipment inventory.

  11. Completes credit card transactions and manages the inventory, sales, and distribution of performance DVDs and other items purchased.

  12. May supervise LYO staff in the absence of the Executive Director.

  13. Maintains a regular work schedule to support daily operations of the Youth Orchestra Office with weekend availability. Has regular and reliable access to personal transportation.

  14. Assists the Executive Director with gathering information for the preparation of data and metrics and writing of grant applications, funding requests, and other development goals. Due to direct involvement in fundraising activities and mailing lists, this position will be subject to non-compete and confidentiality agreements. 

  15. Possesses the technical and clerical skills needed to use computers, mobile phones, or tablets, and general office applications such as Word, Excel, etc. to maintain databases, operate LYO information systems, prepare communications, update the LYO website, and administer OneCallNow, etc.

  16. Performs additional duties as requested by the Executive Director and the Board of Directors.

 

Preferred Qualifications:

 

  • Experience in arts administration, music education, performing arts, or stage management

  • Exceptional written and verbal communication skills with a high level of attention to detail

  • The ability to work efficiently and meet multiple deadlines

  • Flexibility, strong interpersonal skills, and a team player sensibility
     

The Business Manager position is a part-time role averaging 10-15 hours weekly with a projected yearly pay range beginning at $11,000.
